Large Training Room Hire – Terms and Conditions
1. General Information
- The facility measures 8400 x 7250 mm (60.9 sqm) and includes the following:
- Equipment: TV, two (2) whiteboards, Wi-Fi.
- Furniture: Up to ten (10) tables and twenty (20) chairs (maximum capacity of 40 chairs if no tables).
- Amenities: Tea and coffee facilities, water cooler, fridge, and microwave. Water jugs and glasses, coffee cups, cutlery.
- Intended Use: The room is suitable for meetings, training, and workshops. Please note: Social gatherings, parties, or celebrations are not permitted.
2. Booking Process
- Bookings are not secured until full payment is received.
- Invoices must be paid within 7 days or before the booking date, whichever is sooner.
- Minimum booking notice: 24 hours in advance.
3. Hire Fees

4. Cancellations and Refunds
- Cancellations more than 14 days before the hire date: Full refund (minus a booking fee).
- Cancellations between 7 – 14 days before the hire date: 50% refund.
- Cancellations less than 7 days before the hire date: No refund.
- Cancellations due to unforeseen circumstances (e.g., natural disasters, government restrictions) may be eligible for a refund or credit without penalty.
- If Future Institute cancels the booking due to unforeseen circumstances, a full refund will be provided.
5. Room Usage
- The facility is only staffed until 5:00 PM.
- Access hours: 7:30 AM – 5:00 PM.
- Strict vacate time: 5:00 PM.
- We recommend finalising activities and commencing pack-up by 4:45 PM.
- Late exit penalty: $50 per 15 minute increments beyond 5:00 PM.
- Setup:
- Future Institute will set up tables and chairs as per the booking request.
- Additional setup requirements must be arranged by the hirer.
- No sticky tape or adhesives may be used on the walls.
- Cleaning responsibilities:
- All rubbish must be put into the bins provided, don’t leave anything behind.
- Place dirty dishes on the assigned trolley.
- Leave the room in its original condition.
- Equipment use:
- The hirer is responsible for ensuring proper use of the TV, whiteboards, and Wi-Fi
- Food and Beverage:

- External catering is permitted but must be arranged by the hirer. Sonder Coffee is available for catering within the same building – hellosondercoffee@gmail.com
- No alcohol is allowed on the premises.
6. Liability and Insurance
- The hirer is responsible for any damage or loss to the facility, equipment, or furnishings.
- Hirers must have their own public liability insurance and workers’ compensation insurance (if applicable).
7. Security
- A staff member will be at reception at 7:30 AM to unlock the room.
- The room must be vacated by 5:00 PM, as the building will be locked.
- Hirers may drop off materials or arrange setup the day before if the room is available.
8. Breach of Terms
Failure to comply with these Terms and Conditions may result in:
- Additional cleaning or repair charges for any damages or failure to leave the room in its original condition.
- Late exit penalties for overstaying beyond 5:00 PM.
- Future booking restrictions
